How can I export my Counter data?

With Counter PMS ending its service, export key data to preserve your property and guest records before account deactivation. Essential reports include: Reservation Report/Guests Report/Transaction Report

After careful consideration, we have made the difficult decision to discontinue our Property Management System (PMS), Counter. This choice aligns with a broader strategy to focus on developing new, advanced technological solutions that will provide even greater long-term value for you and your team.

We understand this transition may be disruptive, and we apologize for any inconvenience caused. Our team is committed to supporting you through this process, offering assistance and guidance as needed. Counter will continue to operate until March 28th, 2025, to give you time to secure your data and prepare for the change.

If you’re currently using Counter, exporting key reports will be essential to preserving your property and guest data. After March 28th, 2025 your account is deactivated and  you’ll no longer have access to these records, so securing them now is vital for a seamless transition. Moving forward, you have two options: managing your property in Hostelworld  directly via Inbox or connecting with a new Channel Manager / PMS. Here are the essential reports you should export:


Reservation Report

This report provides a complete overview of all bookings made at your property, including past, present, and future reservations. It’s a vital record to retain, especially if you’re migrating to a new PMS. Having this comprehensive reservation history will ensure that all availability and booking details are accurately transferred, making it easier to resume operations without issues.

To export your all reservation:

  • Login to Counter and Navigate to the Reservation Report section: https://workspace.counter.app/beds/reports/reservations

  • Click on "Show Advanced," then select the filter for "check-in day" and include all booking statuses. We recommend downloading all your historical data; so the system isn't overloaded, you will need to do this in two-year intervals.



Transaction Report

The Transaction Report is essential for tracking your property's financial transactions. This report typically includes payments, adjustments, refunds, and voids, providing a comprehensive log of all financial activities associated with each reservation.  It’s particularly useful for verifying that financial records are accurate, which is crucial if you’re auditing past transactions or confirming payment records before switching systems.

Guests Report

The contact details are included on the previous Reservation report. Guest Report contains sensitive information, including Personally Identifiable Information like names, nationality, and booking history. Be sure to handle this data in compliance with local privacy regulations.

Be sure to store these records securely and manage guest information in accordance with all relevant privacy regulations.
