How to Set up your Room Inventory in Counter?

The Room Inventory is the list of Physical Rooms you have in your Property.

First, it is important to understand the difference between Room type and Room. Please read this article carefully. 

Before creating your Rooms (Room Inventory), you must create the Room types. Click here to find how to create, edit or delete Room Types?


How to create a new Room?

  1. Go the beds tab → Manage → Room Inventory.
  2. In the Room Inventory tab, you will find a list of all your rooms with their corresponding Room Type and Picture. 
  3. Click 'Add Room'.

    1. Basic Information: Name (for e.g. Room 1, Room 2A, Suite 5, Room Butterfly, etc.) and Picture (Internal use)
    2. Details: for internal use (optional)
    3. Room Type: Select the primary room type of the room. For e.g. Room 1 (Room inventory) is a 4-bed Mixed dorm (room type)
    4. Multi Inventory: This tool allows you to sell more than one Room type per Room at the same time or switching periodically. 
      For e.g.: You can sell Room 1 as a 4-bed Mixed dorm and as a 4-bed private at the same time. The first one to be booked online, blocks the availability of the other room type.* - 
      OR you can sell the 4-bed mixed dorm from January 1st to March 15th and the 4-bed private from March 16th to December 31st.

How to edit Rooms?

  1. Go the beds tab → Manage → Room Inventory.
  2. Click the set up button near to the Room you want to edit.
  3. Edit → Save changes.


How to delete Rooms?

  1. Go the beds tab → Manage → Room Inventory.
  2. Click the set up button near to the Room you want to delete.
  3. Click 'Delete' (bottom left). You will note be able to delete the room if there are Reservations (past or future) allocated in that room. You must move them to a different room or the Unallocated row.


*Please note: there is a really small risk of overbookings associated to the Multi-Inventory set up. This could happen only if one same guest tries to book the two room types at the exact same time and you only have one room available at that exact moment.
