Counter Multi-inventory

Discover how to effectively set up and manage your inventory to offer the same room as different room types.

This feature allows you to offer online one room as two (or more) different room types at the same time

e.g.: Room A is typically a 4-Bed shared dorm. However, this room can also be sold as a 4-Bed Private Room simultaneously. When a guest is booking online, both room types will be displayed, and the first one to be booked will block the availability of the other type.

Multi-Inventory ≠ Multi-Occupancy (Price per guest). This last tool allows you to sell a room for a different number of guests at a different rate and it depends on each OTA, it must be configured in the OTAs extranet.


How to setup the Multi-Inventory feature?

Carefully follow each step below to ensure that you don't encounter any availability issues.

  1. Go to the beds tab → Manage → Rom Inventory
  2. Click on the setup button next to the corresponding room:

  4. Choose between:
    1. No Overlapping dates: Allows you to set a different Room Type after a defined Date. 
      For e.g. Room 1 will be a 4-bed Shared Dorm from Jan-1 to May-15 and a 4-Bed Private from May-16 to Dec-31.
    2. Allow Overlapping dates: Offer both Room Types at the same time.
  5. Add/Edit the date range and SAVE the dates.
  6. After saving the dates, you must SAVE the changes in the set-up (Bottom-right button)

Activating the overlapping option carries the risk of a potential overbooking situation if a guest books both room types simultaneously. It is important to carefully consider this risk before enabling the tool.


How will the room availability be shown on the calendar?

When a guest makes a booking for a room with these settings, the reservation will be assigned to the appropriate room type. As a result, the other linked room types will automatically be shown as unavailable on the calendar.


How do I connect room types with OTAs when using the multi-inventory feature?

The connection with the Channels or OTAs is always done at a Room Type level.

To connect the room types with OTAs when using the multi-inventory feature, you need to create each room type individually and then map them. It is important to map all the room types involved in the multi-inventory set-up. By doing so, the Counter system will automatically update the availability for each room type.
