Cancellation Policy and Terms & Conditions

As a property owner or manager on Hostelworld, ensuring that your property's information is accurate and up to date is essential to providing potential guests with reliable and trustworthy information. One crucial aspect of your property's information is its cancellation policy. In this guide, we'll take you through the step-by-step process of updating your property's cancellation policy on Hostelworld's platform. Additionally, we'll provide advice on the essential information that your policy should clearly include.

 

Step 1: Accessing Your Hostelworld Inbox

  1. Begin by opening your web browser (preferably Chrome or Safari) and navigating to the Hostelworld Inbox.
  2. Chose the language you wish to navigate by selecting your Language flag.
  3. Log in to your property's account using your Prop ID and username.

Step 2: Navigating to Policy Information

  1. After logging in, inside your property Inbox section, you'll find various options related to managing your property. Click on "Property Setup."
  2. Within the Property Setup section, explore the menu until you locate and select "Microsite content."
  3. Inside the Microsite Content options, choose "Policy Information."

Step 3: Selecting a Language

  1. In the Policy Information section, you'll see a language dropdown menu. Choose the language in which you want to update your policy.

Step 4: Editing Hostelworld - Terms and Conditions

  1. A text box labeled "Hostelworld - Terms and Conditions" is displayed. This is where you can craft or edit your property's cancellation policy & conditions - in the chosen language.
  2. Ensure that your updated policy includes the following key details:
    • The number of days guests are allowed to cancel their reservation before their scheduled arrival.
    • Penalties or fees imposed for late cancellations or no-shows.
    • Clear information about the earliest and latest check-in times.
    • Clear information about the earliest and latest check-out times.
    • Accepted methods of payment upon arrival.
    • Clear information regarding pre-authorization / pre-payment policies
    • Indication of whether taxes are included in the pricing or not.
    • Other essential information, such as curfew hours, age restrictions (if applicable), pet-friendliness, child-friendliness, non-smoking policy, etc.

Step 5: Submitting for Approval

  1. Be aware that any changes made to the cancellation policy will require approval from Hostelworld staff.
  2. Before submitting, carefully review your updated policy for accuracy and completeness.
  3. Once satisfied, proceed to submit the changes for review and approval.

Important Note:

  • Please note that changes to the number of days allowed for cancellations will only be applicable to bookings made after Hostelworld staff's approval.

By following these steps, you can effectively update your property's cancellation policy on the Hostelworld platform. Remember that providing comprehensive and accurate information enhances the booking experience for potential guests and helps establish credibility and trust for your property.
