How to Set Up Your Rooms Using Hostelworld Inbox
Setting up your rooms correctly helps you manage availability, display accurate details online, and attract the right guests.
In this guide, you’ll learn how to create, edit, and manage your room types through Hostelworld Inbox.

🧭 Step 1: Go to the Room Setup section

Log in to your Hostelworld Inbox.

Go to the Rates & Availability tab.

Click Add/Edit Room Types, then select Add New Room Type.

🛏️ Step 2: Fill in your room details
For each room type, complete the following:
Room Grade
Choose: Basic, Standard, Deluxe, or Superior.
Number of Guests
Enter how many guests the room can accommodate.

If the room includes a double, queen, or king bed, enter 2.

Capsules/pods are for 1 person only — each counts as one bed.
Room Type
Select the most accurate category:

Mixed Capsule/Pod – shared room for all genders

Female Capsule/Pod – shared room for female guests only
-
Male Capsule/Pod – shared room for male guests only
-
Twin Room – two single or bunk beds
-
Double Room – one double bed
-
Private Room – multiple single or bunk beds (whole room booked privately)

Female Dorm – shared room for female guests
-
Male Dorm – shared room for male guests
-
Mixed Dorm – shared room for all genders
-
Family Room – at least one double bed plus extra beds (3 guests or more)

Apartment – includes private kitchen and bathroom
-
Private/Shared Tents – must include mattresses; shared tents require at least 4 beds
⚠️ Shared tents with fewer than 4 beds are not allowed.
⚠️ Dorms with fewer than 4 beds must be requested directly through your Hostelworld Support Team for approval.
Number of Rooms
Enter how many rooms of this type you have.
Ensuite
Select Yes if the room has a private bathroom, or No if it’s shared.
Custom Name
Give your room an internal name, e.g., “4 Bed Blue Dorm.”
⚠️ This name is for your reference only and does not appear online.
Room Description
Add short details such as TV in room or reading lamps by each bed.
Once submitted, our team reviews and publishes it online.
📝 Room Description Guidelines:

Write in English only.
-
Don’t include prices or contact details.

Currently visible to web users only.
⚠️ Important: Hostelworld does not support multiple occupancy pricing
On Hostelworld, each room type must be set up at its maximum capacity — the total number of guests it can sleep.
Hostelworld does not allow different prices for different occupancies (for example, selling the same Double Room at one rate for 1 guest and another for 2 guests).
If you normally use occupancy-based pricing:

Set the room’s capacity to its full number of guests (e.g., Double Room = 2 guests).

Manage your price updates according to that full capacity in your calendar or Channel Manager.
Keeping your capacity consistent ensures accurate availability, prevents booking errors, and maintains clear expectations for guests.
💰 Step 3: Add Prices

Set your Weekday and Weekend prices.

For capsules/pods, enter Price per Person.
📅 Step 4: Check Availability
When you create a new room type, Hostelworld automatically opens your availability for one year from that day.
Keep your calendar updated through the main Calendar view.
🔒 Step 5: Editing or deleting rooms
For security reasons, it’s not possible to edit room configurations (like bed types or capacity).
If you need to make changes, you must delete the room and create a new one.
🗑️ How to delete a room

In the Add/Edit Room Types section, select the room you want to remove.

Click the trash can icon 🗑️.

If the room has future bookings, a warning will appear.

⚠️ Note:
Deleting a room does not cancel existing bookings.
Guests will still expect to stay in that room type.
You can view all bookings under Bookings → Advanced Search in Hostelworld Inbox.

✔️ Review your availability regularly to avoid overbookings.
